What it means

CRM stands for Customer Relationship Management. In everyday use, it means software that stores all your contacts, leads and customers in one place, along with every call, email, WhatsApp chat and meeting you have had with them.

Think of it as a smart, shared diary for your whole sales team.

How it works

A CRM keeps a record, often called a contact card, for each person. On it you can see:

  • Contact details: name, phone, email and city.
  • Stage: new lead, contacted, interested, customer or lost.
  • History: every conversation, note and follow-up date.
  • Tasks: reminders like "call back on Friday".

Leads from website forms or ads can flow in automatically, and managers can see the whole pipeline at a glance.

Popular options include HubSpot, which has a free CRM plan, and Zoho CRM, an Indian-built tool used by many small businesses. Very small businesses sometimes start with a well-organised spreadsheet.

A simple example

A saree shop in Surat gets enquiries on Instagram and WhatsApp. Earlier, they were scattered across three phones.

The owner sets up a free CRM. Now every enquiry is added as a contact, tagged with the fabric they liked and their budget, say ₹5,000. When a new Banarasi collection arrives, the team filters contacts interested in Banarasi sarees and sends them a personal message. Nobody is forgotten, and repeat customers are remembered by name.

Why it matters

Customers expect you to remember them. A CRM stops leads slipping through the cracks, helps teams work together and shows you where deals get stuck. Over time, it becomes one of the most valuable records your business owns.

  • Start simple: a few stages and a few fields are enough.
  • Log every conversation straight away, while you remember the details.
  • Set follow-up reminders so no lead goes cold.
  • Common mistake: buying an expensive CRM and never updating it. A CRM is only as good as the data your team enters.
